As a Payroll Clerk, you will play a critical role in maintaining our financial integrity. You will be responsible for processing payroll for a diverse workforce, ensuring tax compliance, and answering employee inquiries with professionalism and efficiency.
Responsibilities
- Process Payroll: Accurately calculate and process bi-weekly and monthly payroll for all employees using [ADP/QuickBooks] systems, ensuring all deductions and withholdings are correct.
- Compliance & Filing: Prepare and file necessary federal, state, and local payroll tax returns (W-2s, 1099s) on a timely basis to ensure full compliance with Oklahoma and federal regulations.
- Data Accuracy: Audit time and attendance records, leave balances, and hourly data to prevent errors and discrepancies in paychecks.
- Employee Support: Serve as the primary point of contact for payroll-related questions, resolving inquiries regarding pay stubs, direct deposits, and tax documents promptly.
- System Maintenance: Maintain and update employee payroll files, including address changes and tax form updates, ensuring the HRIS database is current.
- Reporting: Assist in the preparation of payroll reports for management, including labor costs and overtime analysis.
- Vendor Management: Coordinate with external payroll vendors or banks to ensure seamless direct deposit processing.
Qualifications
- Education: High school diploma or GED required; Associate degree in Accounting or Finance is preferred.
- Experience: Minimum of 1-3 years of hands-on experience in payroll processing or a similar accounting role.
- Software Proficiency: Strong proficiency with payroll software (e.g., ADP, Ceridian, Paychex) and Microsoft Excel (pivot tables, vlookups).
- Attention to Detail: Exceptional analytical skills with a proven track record of accuracy in data entry and calculation.
- Knowledge: Solid understanding of federal and state wage and hour laws, tax regulations, and FLSA requirements.
- Communication: Excellent interpersonal skills with the ability to explain complex payroll concepts to non-financial staff.
- Reliability: Ability to handle sensitive financial information with the highest level of confidentiality and integrity.
