Responsibilities
- Process weekly and bi-weekly payroll for all employees using ADP Workforce Now, ensuring 100% accuracy in calculations and tax withholdings.
- Reconcile payroll bank statements and resolve any discrepancies promptly.
- Maintain and update employee personnel files and payroll records to ensure data integrity.
- Prepare and file federal, state, and local payroll tax returns (e.g., Form 941, state quarterly returns) in a timely manner.
- Assist in the administration of employee benefits, including deductions for health insurance, 401k, and garnishments.
- Respond to payroll-related inquiries from employees regarding pay stubs, deductions, and tax statements.
- Collaborate with the HR department to ensure payroll data aligns with HRIS records.
Qualifications
- High school diploma or GED required; Associate degree in Accounting, Finance, or Human Resources is strongly preferred.
- Minimum of 2-3 years of hands-on experience in payroll processing, preferably within a corporate environment.
- Proficient knowledge of payroll laws, regulations, and compliance requirements in California and the United States.
- Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables) and experience with payroll software such as ADP, Paychex, or QuickBooks.
- Strong attention to detail and the ability to handle sensitive financial information with discretion and confidentiality.
- Excellent communication skills, both written and verbal, to effectively interact with staff and management.
- Ability to work independently as well as part of a team in a fast-paced office setting.
