Responsibilities
- Invoice Management: Accurately review, verify, and process vendor invoices in a timely manner to ensure payments are made according to terms.
- Vendor Relations: Serve as the primary point of contact for vendor inquiries regarding invoices, discrepancies, and payment status.
- Reconciliation: Perform daily reconciliation of accounts payable ledgers and bank statements to ensure 100% accuracy.
- Expense Reporting: Assist in the collection, coding, and processing of employee expense reports and reimbursements.
- Financial Reporting: Generate and analyze monthly AP aging reports to provide insights into cash flow and outstanding obligations.
- System Maintenance: Maintain and update accounting software (e.g., QuickBooks, Xero) with current vendor data and invoice history.
- Compliance: Ensure all AP processes comply with company policies and federal regulations.
Qualifications
- Experience: Minimum of 1-2 years of experience in Accounts Payable or general accounting roles.
- Software Proficiency: Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP) and cloud-based accounting software.
- Education: Associate’s degree in Accounting, Finance, or Business Administration is preferred; High school diploma with equivalent experience is accepted.
- Attention to Detail: Exceptional ability to spot discrepancies, verify data integrity, and maintain organized records.
- Communication: Strong verbal and written communication skills for interacting with vendors and remote team members.
- Organization: Ability to manage multiple tasks and prioritize effectively in a remote work setting.
