As a Payroll Specialist, you will act as the guardian of our payroll data, handling everything from processing timesheets to managing complex tax filings. Responsibilities
- Process payroll for over 200 employees on a bi-weekly basis using [Company Payroll Software], ensuring 100% accuracy and timely delivery.
- Prepare and file federal, state, and local payroll tax returns, including 941, state wage reports, and local jurisdiction filings.
- Respond to employee payroll inquiries regarding deductions, commissions, and tax withholdings in a professional and timely manner.
- Conduct monthly and annual audits of payroll records to ensure compliance with internal policies and external regulations.
- Maintain and update employee payroll files, including W-4s, I-9s, and direct deposit authorizations.
- Collaborate with the HR and Accounting departments to resolve discrepancies in timekeeping and compensation.
- Assist in the implementation of new payroll systems and process improvements.
Qualifications
- Minimum of 2-4 years of experience in payroll processing, preferably within a high-volume environment.
- Proficiency with payroll software (e.g., ADP Workforce Now, Paychex, or similar) is required.
- Strong working knowledge of federal and state labor laws, including FLSA, FICA, and state-specific regulations.
- Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables) for data analysis and reporting.
- Excellent attention to detail with the ability to detect errors before they impact employee pay.
- Strong communication skills with the ability to explain complex payroll concepts to non-financial staff.
- Bachelor’s degree in Accounting, Finance, or Business Administration is preferred.
