Responsibilities

  • Process weekly and bi-weekly payroll for all employees using ADP Workforce Now, ensuring accuracy in hours worked, deductions, and tax withholdings.
  • Prepare and file federal, state, and local payroll tax returns, including quarterly and annual forms (941, W-2s, 1099s), ensuring full compliance with California labor laws.
  • Respond to employee payroll inquiries regarding pay stubs, direct deposit, time-off balances, and tax documents in a timely and professional manner.
  • Collaborate with the HR department to verify employee data, update personal information, and maintain accurate payroll records.
  • Reconcile payroll accounts and prepare month-end payroll reports for the Finance Manager.
  • Assist in the preparation of annual budgets and audits related to payroll expenses.
  • Utilize Excel and other accounting software to analyze payroll trends and assist in cost-saving initiatives.

Qualifications

  • Minimum of 2-3 years of experience in payroll processing or a related administrative role.
  • Proficiency in payroll software such as ADP, Paychex, or SAP SuccessFactors.
  • Strong working knowledge of US federal and California state payroll tax regulations and compliance requirements.
  • Advanced Excel skills, including VLOOKUP, pivot tables, and macros.
  • Excellent attention to detail with the ability to handle sensitive financial information with confidentiality.
  • Strong communication skills, capable of explaining complex payroll concepts to non-financial staff.
