Responsibilities
- Process Invoices: Review, verify, and code invoices for accuracy, ensuring all supporting documentation is complete.
- Payment Processing: Prepare and issue payments via check, ACH, or wire transfer while adhering to payment terms.
- Vendor Management: Reconcile vendor statements and resolve any billing discrepancies or inquiries promptly.
- Record Keeping: Maintain accurate and up-to-date accounts payable ledgers and digital records.
- Month-End Close: Assist in the monthly closing process by preparing necessary reports and reconciling accounts.
- Reporting: Generate and distribute weekly or monthly payment reports to management.
- Compliance: Ensure all AP processes comply with company policies and relevant accounting standards.
Qualifications
- Education: High school diploma or GED required; Associate degree in Accounting or Finance is preferred.
- Experience: Prior experience in accounts payable or general accounting is highly desirable.
- Software Proficiency: Must be proficient in accounting software (e.g., QuickBooks, Sage, Xero) and Microsoft Excel (VLOOKUP, formulas).
- Attention to Detail: Exceptional accuracy in data entry and financial record maintenance.
- Communication: Strong verbal and written communication skills for interacting with vendors and internal teams.
- Organization: Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment.
- Availability: Must be available to work a part-time schedule (e.g., 20-25 hours per week).
