Responsibilities

  • Invoice Processing: Accurately receive, review, and process incoming invoices in a timely manner, verifying accuracy of amounts, dates, and coding.
  • Vendor Relations: Communicate with vendors regarding payment status, resolving discrepancies, and answering inquiries professionally.
  • Data Entry & Reconciliation: Perform daily data entry into our accounting software, ensuring all transactions are recorded correctly and bank reconciliations are maintained.
  • Expense Management: Assist in the management of employee expense reports and reimbursements, ensuring compliance with company policies.
  • Reporting: Assist in preparing monthly AP reports and maintaining organized filing systems for both physical and electronic records.
  • System Management: Maintain and update vendor master files and ensure tax compliance (e.g., W9s, 1099s).

Qualifications

  • Experience: Minimum of 2-3 years of experience in Accounts Payable or General Accounting.
  • Software Proficiency: Strong proficiency in accounting software (e.g., QuickBooks, Xero, NetSuite) and Microsoft Excel (pivot tables, VLOOKUP).
  • Attention to Detail: Exceptional ability to spot errors and maintain high levels of accuracy in data entry.
  • Communication: Excellent verbal and written communication skills for interacting with vendors and internal departments.
  • Organization: Strong organizational skills with the ability to prioritize tasks in a fast-paced environment.
  • Education: Associate degree in Accounting, Finance, or related field preferred; high school diploma required.
