Responsibilities
- Invoice Processing: Review, verify, and code incoming invoices for accuracy and authorization before processing payments.
- Vendor Relations: Communicate with vendors to resolve discrepancies, answer billing inquiries, and ensure accurate account balances.
- Data Entry: Maintain precise records in the ERP system (SAP or QuickBooks) by entering data into the accounts payable database.
- Reconciliation: Reconcile vendor statements monthly to ensure all transactions are accounted for and correct.
- Reporting: Assist in the preparation of monthly AP reports and variance analysis.
- Payment Execution: Process checks and electronic payments (ACH/Wire) according to payment terms and approval workflows.
Qualifications
- Experience: Minimum of 2 years of experience in Accounts Payable or general accounting.
- Education: High school diploma or GED required; Associate’s degree in Accounting or Finance preferred.
- Technical Skills: Proficiency in accounting software (QuickBooks, SAP, Oracle) and MS Excel (VLOOKUP, Pivot Tables).
- Attention to Detail: Exceptional ability to spot errors, verify data, and maintain organized files.
- Availability: Must be available to work night shifts consistently.
- Communication: Strong verbal and written communication skills for vendor interaction.
