Responsibilities
- Process and verify invoices for accuracy and completeness, ensuring compliance with company policies and vendor agreements.
- Enter and maintain accurate financial data in our accounting software (e.g., QuickBooks, NetSuite).
- Reconcile vendor statements and resolve discrepancies or billing errors in a timely manner.
- Communicate effectively with vendors and internal departments to clarify invoice details and payment schedules.
- Assist in the monthly and quarterly close processes by preparing necessary reports and schedules.
- Manage incoming and outgoing mail, including tracking and distributing payments.
- Support the finance team with general administrative tasks and ad-hoc accounting projects.
Qualifications
- High school diploma or GED required; Associate’s degree in Accounting, Finance, or related field is a plus.
- Previous experience in an office setting, internship, or customer service role is preferred but not mandatory.
- Proficiency in Microsoft Office Suite, specifically Excel (VLOOKUP, Pivot Tables are a plus).
- Strong attention to detail with the ability to detect errors in data entry.
- Excellent time management skills and the ability to prioritize tasks in a fast-paced environment.
- Basic understanding of accounting principles and financial terminology.
- Strong written and verbal communication skills.
