As a Payroll Specialist, you will be responsible for the end-to-end processing of payroll for a diverse workforce. You will work closely with the HR and Finance departments to maintain up-to-date records, handle complex tax filings, and provide exceptional service to our team members. Responsibilities

  • Process weekly and semi-monthly payroll for over 250 employees using ADP Workforce Now, ensuring accurate calculations of wages, taxes, and deductions.
  • Ensure strict compliance with federal, state, and local payroll laws, including FLSA regulations and tax reporting requirements.
  • Prepare and file quarterly and annual payroll tax returns (941, state W-2s) and handle year-end reporting.
  • Review and approve timekeeping data, resolving discrepancies and addressing employee inquiries regarding pay stubs and direct deposits.
  • Maintain and update employee personnel files and payroll records to ensure data integrity and audit readiness.
  • Collaborate with the Finance team to reconcile payroll expenses and prepare monthly reconciliation reports.
  • Assist with the implementation of new payroll software updates and process improvements.

Qualifications

  • Minimum of 3-5 years of progressive experience in payroll processing, preferably within a mid-sized to large organization.
  • Strong working knowledge of payroll tax laws, regulations, and compliance standards (FLSA, FICA, etc.).
  • Proficient in payroll software (ADP, Paylocity, or similar) and general ledger accounting systems.
  • Advanced proficiency in Microsoft Excel, including pivot tables and VLOOKUP functions.
  • Excellent attention to detail with the ability to detect errors and resolve discrepancies efficiently under tight deadlines.
  • Strong verbal and written communication skills, with the ability to explain payroll information clearly to employees.
  • Bachelor’s degree in Accounting, Finance, or a related field is highly preferred.
