Responsibilities
- Invoice Processing: Accurately process and verify high-volume invoices, ensuring compliance with company policies and vendor terms.
- Vendor Relations: Serve as the primary point of contact for vendor inquiries regarding payments, discrepancies, and status updates.
- Reconciliation: Perform daily bank reconciliations and vendor statement reconciliations to maintain accurate financial records.
- Expense Management: Review and approve employee expense reports, ensuring proper coding and documentation.
- Month-End Close: Support the month-end and year-end close process by preparing necessary schedules and reports.
- System Maintenance: Maintain and update the AP system (QuickBooks/Xero) to ensure data accuracy and reporting integrity.
- Audit Support: Assist in internal and external audits by providing requested documentation and explanations.
Qualifications
- Experience: Minimum of 2-3 years of experience in Accounts Payable or similar finance role.
- Availability: Must be available to work weekends (Saturday and Sunday) on a rotating schedule.
- Software: Proficiency with accounting software (QuickBooks, Sage, or Xero) and MS Excel (VLOOKUP, Pivot Tables).
- Education: Associate degree in Accounting, Finance, or related field required; Bachelor’s degree preferred.
- Attention to Detail: Strong analytical skills with the ability to detect errors and discrepancies in financial data.
- Communication: Excellent verbal and written communication skills for interacting with internal teams and external vendors.
