Responsibilities
- Invoice Processing: Review, verify, and code incoming invoices for accuracy, ensuring they are properly approved and recorded in the system.
- Vendor Relations: Serve as the primary point of contact for vendors regarding billing inquiries, resolving discrepancies efficiently.
- Reconciliation: Perform monthly reconciliation of accounts payable ledgers and credit card statements to ensure balances match.
- System Management: Utilize accounting software (e.g., QuickBooks, Oracle, or SAP) to manage data entry and generate reports.
- Policy Compliance: Adhere to internal controls and company policies regarding expense reporting and payment authorization.
- Reporting: Assist in the preparation of monthly AP aging reports and assist with month-end close processes.
- Expense Management: Review and process employee expense reports in compliance with company guidelines.
Qualifications
- Experience: Minimum of 2-4 years of experience in full-cycle Accounts Payable.
- Software Proficiency: Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP) and experience with ERP systems like NetSuite, QuickBooks, or SAP.
- Attention to Detail: Exceptional accuracy in data entry and a keen eye for spotting errors.
- Communication: Strong verbal and written communication skills with the ability to interact effectively with vendors and internal departments.
- Organization: Ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.
- Education: Associate’s degree in Accounting, Finance, or Business Administration preferred.
- Problem Solving: Proactive approach to resolving billing discrepancies and payment issues.
