Responsibilities

  • Process Payroll: Manage the end-to-end payroll cycle, including weekly and bi-weekly processing using ADP Workforce Now, ensuring 100% accuracy and timeliness.
  • Compliance & Tax: Prepare and file quarterly and annual federal/state payroll tax returns with the Franchise Tax Board (FTB) and IRS; ensure strict adherence to FLSA and California labor laws.
  • Dispute Resolution: Investigate and resolve payroll discrepancies, garnishments, and complex timekeeping errors.
  • Employee Support: Serve as the primary point of contact for employee payroll inquiries regarding pay stubs, direct deposits, deductions, and tax forms (W-2, W-4).
  • Record Keeping: Maintain accurate and confidential employee payroll records, updating I-9s, tax documents, and banking information.
  • Reporting: Generate and analyze payroll reports to assist management with budgeting, headcount tracking, and cost analysis.
  • System Maintenance: Coordinate with IT and vendors to troubleshoot payroll system issues and implement process improvements.

Qualifications

  • Experience: 3+ years of hands-on payroll processing experience in a corporate or high-volume environment.
  • Software Proficiency: Must be proficient in payroll software (ADP, UKG, Paylocity, or Ceridian) and advanced Excel skills (VLOOKUP, pivot tables).
  • Regulatory Knowledge: Strong working knowledge of California state labor laws, FLSA regulations, and federal tax compliance.
  • Attention to Detail: Exceptional ability to spot errors and maintain high levels of accuracy with sensitive financial data.
  • Communication: Excellent verbal and written communication skills for interacting with employees and management.
  • Education: Associate degree in Accounting, Finance, or HR; Bachelor’s degree preferred.
