Role Overview:
As an Accounts Payable Specialist, you will be the guardian of our cash flow, ensuring accurate and timely processing of vendor invoices, expense reports, and payments. You will collaborate closely with the accounting team to maintain accurate financial records and resolve discrepancies efficiently.
Responsibilities
- Process and verify incoming invoices for accuracy, coding, and compliance with company policies.
- Maintain the vendor master file and ensure all banking details are up to date.
- Reconcile vendor statements and resolve any billing discrepancies or queries.
- Prepare and process weekly and monthly payments via ACH and wire transfers.
- Assist with month-end close procedures, including accruals and adjusting entries.
- Manage and respond to vendor inquiries regarding invoice status and payment schedules.
- Assist in the monthly bank reconciliation process.
Qualifications
- High School Diploma or GED required; Associate’s degree in Accounting or Finance preferred.
- Minimum of 1-3 years of experience in Accounts Payable or general accounting.
- Proficiency in Microsoft Excel (VLOOKUP, pivot tables) and accounting software (e.g., QuickBooks, SAP, or NetSuite).
- Strong attention to detail with excellent organizational skills.
- Ability to meet strict deadlines in a fast-paced environment.
- Excellent communication skills, both written and verbal.
- Experience with automated AP systems is a plus.
