Responsibilities
- Review, verify, and process incoming vendor invoices for accuracy and completeness.
- Perform 3-way matching (Purchase Order, Receiving Report, Invoice) to ensure proper authorization.
- Reconcile accounts payable statements and resolve billing discrepancies promptly.
- Prepare weekly payments via check or electronic transfer (ACH/Wire).
- Communicate proactively with vendors regarding invoice status and questions.
- Maintain and update the AP ledger and vendor database with weekend batch entries.
- Assist in month-end close procedures specific to the weekend backlog.
Qualifications
- Minimum of 2 years of experience in Accounts Payable, Bookkeeping, or Accounting.
- Proficiency in Microsoft Excel (VLOOKUP, Pivot Tables) and accounting software (e.g., QuickBooks, Sage, NetSuite).
- Strong attention to detail and high speed of data entry.
- Ability to work independently and efficiently with minimal supervision.
- High school diploma or equivalent; Associate’s degree in Accounting preferred.
- Must be available to work a consistent weekend schedule (Saturday/Sunday).
